It doesn't matter what type of response platform we're talking about there, you could be using email, a chat system, facebook chat, smoke signals, carrier pigeons, etc. if you have a slow response time you will almost always be less successful than your competitors who are responding within minutes. When I'm setting up a new website I will give the visitor multiple ways to contact me, not just an email form, in order to increase the chances of me capturing a sale. The more option you give someone in order to contact you, the more likely you will have their preferred method of contact, which means they will usually try and get a hold of you. Now, if you don't respond quickly to their preferred method, you won't catch as many clients as you could be, and that's never a good thing!
You need to be on top of things when it comes to responding, so you'll need to be notified via mobile phone which isn't that difficult, and you will be happy you're now getting 10+ notifications a day that you weren't getting yesterday
In this discussion, I'll be going over a few things you need to focus on when it comes to responding quickly, and they are:
People have short attention spans
People might forget they contacted you when you eventually get back to them, and that means they will likely avoid responding to you because it seems like spam. It doesn't matter if you have the Re: in front of the email or if you even have their question added to your response, they will likely avoid the response and move on.
Now, if you're responding as soon as possible, within a few minutes, the potential client will still be interested and ready to open up their wallets to make an order on your website This is why getting mobile notifications is key to responding asap in order to boost your sales
You're not the only company a person is contacting
Think about it, do you contact one web designer or SEO service and wait for them to respond before you move on to the second or third service you have interest in? No, you contact them all and wait for them to respond, and you usually go with one of the first that do respond because it shows they're on top of their profession and ready to work for you.
I actually contacted a writer here on SEOclerks to see if they would be interested in working on some content for a few of my own websites because I already have a packed schedule. They never responded and lost a steady paycheck from me. I even messaged them 5 additional times and still never got a response lol Their loss, right?
Respond quick and close more sales
Early bird, or the quickest one, gets the worm
When someone responds to me right away I see them more as a professional and better than the lot I contacted. Sure, the timezones may be a little off and people may be in bed, but I give them the benefit of the doubt and usually wait 24 hours to see who responds.
After that 24-hour time slot, I will start responding to everyone and see what we can do together. After that 24 hours, I tend to ignore the people who are responding for the first time because if they can't respond to me asap then why would they take my job seriously?
Be quick but professional at the same time
Someone who is quick to respond isn't always the person someone will choose to do a service. If you're professional as well as very responsive, you will boost your client acquisition tenfold and eventually be able to hire a VA to do all of your responses within minutes of getting contacted
People want to work with professionals, so if you answer all the questions coming at you in record time as well as stay professional and friendly at the same time, you'll get more clients than anyone else they're contacting right before or after you
In conclusion
A quick response time will ALWAYS increase your sales because people are impatient and don't want to wait for someone over the weekend to respond before they make their decision. I wait 24 hours, which is long in terms of finding someone that is extremely responsive, and not many people will do that if they're looking for a freelancer or professional service from a company. Get mobile notifications and respond as quickly as you can in order to boost your sales
